Will work closely with the vocation couples of the parishes and youth minister. (Fifty percent of the employee\u2019s time.)<\/p>\n<p>\u2022\tThe St. Peter and Holy Family Parish Office Administrator plays a crucial role in supporting the administrative and clerical functions of the parish office. This position serves as the primary point of contact for parishioners and visitors, providing clerical assistance, maintaining parish records, and assisting with various administrative tasks to ensure the efficient operation of the parish office. (Fifty percent of the employee\u2019s time.)<\/p>\n<p>Job Duties<br \/>\n1.\t Administrative Duties<br \/>\na.\tOrganizes, schedules &amp; oversees religious education programs for the youth of the two parishes.<br \/>\nb.\tPrepares and schedules sacramental programs and worship services for students and parents.<br \/>\nc.\tOrders textbooks, teaching materials and resources for the program.<br \/>\nd.\tPrepares a yearly calendar; presents to the pastor &amp; Parish Council for approval by the June meeting.<br \/>\ne.\tReports monthly to the Pastor and Parish Council with an updated project list.<br \/>\nf.\tSupports and endorses diocesan and parish board policies.<br \/>\ng.\tRevises Catechist requirements as needed and presents information to the Pastor.<br \/>\nh.\tSupports the office secretary in work needed and oversees projects when needed in the parish office.<br \/>\ni.\tMaintains parish records, including sacramental records, membership databases, ensuring accuracy and confidentiality.<br \/>\nj.\tWorks in the various web programs, including but not limited to parish websites, ParishSOFT, Parish Staq.<br \/>\nk.\tGreets parishioners in a warm and welcoming manner, both in person and over the phone. Ensures messages are updated on the recording for the office phone.<br \/>\nl.\tGreet the visitors to the Parish.<br \/>\nm.\tAssists the Pastor and Committee Chairs in scheduling meetings, as necessary.<br \/>\nn.\tEnsure timely response to the office voicemails and parishioner requests.<br \/>\no.\tManage the parish office calendar.<br \/>\np.\tMaintain office supplies inventory and reorder as needed. Orders, when necessary, to various printing, publishing companies and liturgical stores.<br \/>\nq.\tPrepares and distributes parish bulletins and other communication as needed.<br \/>\nr.\tPrepares and tracks mass intentions.<br \/>\ns.\tPrepare the call to worship weekly.<br \/>\nt.\tPrepares liturgical ministers schedule for both parishes.<\/p>\n<p>2.\tCommunity Outreach within the Parish duties<br \/>\na.\tProvides support and supervision for the Assistant Coordinators of Religious Education (if applicable)<br \/>\ni.\tThis includes diocesan retreats, classes, and furthering education for Religion Educators that is up to par with the diocese requirements.<br \/>\nii.\tAdminister ACRE tests for teachers and students.<br \/>\niii.\tProvide mandatory Safe Environment training to parents and students annually.<br \/>\nb.\tProvides support, supervision, funding options for VBS, Totus Tuus, or mission camp each summer.<br \/>\nc.\tProvides resources and supervises RCIA process, including sacrament requirements for RCIA candidates.<br \/>\nd.\tProvides resources and programs for Adult Formation if needed.<br \/>\n3.\tSpirituality and Prayer Leadership<br \/>\na.\t Prepares and presides over para-liturgical celebrations for students which includes family day to further the education of students and parents each month.<br \/>\nb.\tCoordinates and plans with pastor sacramental rites for RE students.<br \/>\nc.\tAttend quarterly CORE meetings at the diocese if needed.<br \/>\nd.\tAttend education classes if approved or required by the diocese.<br \/>\n4.\t Staff Responsibilities<br \/>\na.\tWorks with Assistant Coordinators to integrate the total parish religious education program.<br \/>\nb.\tMeets regularly with parish staff for planning and coordination of parish programs.<br \/>\nc.\tPossesses a working knowledge of computer operation including typing skills, Microsoft Office applications, and web- based programs.
